Quick answer

BookKeeper offers online monthly bookkeeping for SMEs in Kuala Lumpur. The Starter plan starts from RM280/month, with the final price based on your quote. Wholesale, restaurant and clinic documents are sent by WhatsApp or Google Drive, then organised every month by our partner professional bookkeeping and accounting team, with reminders for payments due by the 15th of each month.

Key points
  • EPF, SOCSO, EIS and PCB must be paid by the 15th of the following month.
  • From 1 September 2026, the e-Invoice exemption threshold is RM3 million in annual turnover.
  • Phase 4 (RM5 million and below) has a grace period until 31 December 2027. Larger businesses do not qualify.
  • Every plan includes bank reconciliation and a monthly profit and loss statement and balance sheet.

Which KL businesses have the most trouble balancing their books?

Wholesale and food businesses with lots of cash and long credit terms, and clinics that rely on panel payments, are the most likely to have books that do not balance.

At seven in the morning, the electrical wholesale shops around Jalan Pasar already have their shutters up. Lorries come and go, and documents get stuffed under the counter: handwritten delivery orders alongside supplier invoices printed from a computer.

At month end, when you check the bank, several deposits have no reference. Supplier discounts are sometimes deducted on the next invoice and sometimes refunded in cash. The owner knows roughly where things stand, but on paper the numbers do not add up.

Three common KL businesses: which documents need matching each month?

Each type of business has different documents to match. Use the table below as a starting point, and have the accountant confirm what fits how you operate.

Business typeCommon areasMatch every monthOften missed
Wholesale and retailKepong, Jalan Pasar, Chow KitCustomer balances, supplier balances, stock in and outDiscount and return notes
Food and beverageCheras, Taman Connaught, Bukit BintangPOS end-of-day reports, delivery platform statements, bank depositsPlatform commission and e-wallet fees
ClinicsSetapak, Wangsa Maju, Old Klang RoadCash collections, panel receivables, medicine purchasesDocuments for locum doctor fees
Example scenario

Say you run a family clinic in Setapak with one resident doctor, an occasional locum and four assistants. Some patients pay cash, and some are billed monthly to panel companies. Each day you photograph the collection summary and panel bills and put them in Google Drive, along with invoices from your medicine suppliers in the same folder. After the month-end close, you can see which panels have not paid yet and how much of your revenue goes to medicine costs.

What does a clinic need to organise each month?

A clinic needs to organise four things each month: collections, receivables, medicines and staff.

  • Daily collection summary: record cash, DuitNow and e-wallet separately
  • Panel bills and payment advice: record a receivable when billed, then match it off when paid
  • Medicine and consumables invoices: together with a rough stock count at month end
  • Locum doctor fees and staff salaries: keep payment records and payslips

Which deadline do KL companies with staff miss most often?

The one most often missed is the monthly payment of EPF, SOCSO, EIS and PCB by the 15th. PCB (monthly tax deduction, MTD) is income tax the employer deducts from staff salaries each month and pays to LHDN (Inland Revenue Board, LHDN/IRBM) on their behalf.

ItemDeadline
EPF, SOCSO, EIS, PCBBy the 15th of the following month
CP204 tax instalments (Sdn Bhd)By the 15th of each month

Both fall on the same day, so if last month's numbers are ready before mid-month, nothing slips through. For the full yearly deadlines, see the Sdn Bhd month-end checklist. On e-Invoice, many wholesalers in Kepong and Jalan Pasar have turnover close to RM3 million, so work out last year's figures before you decide. Details are in the e-Invoice RM3 million exemption guide.

How do KL businesses send documents to the bookkeeping team?

Mostly online, so you do not have to sit in KL traffic and hunt for parking just to drop off a stack of receipts. Photograph receipts and invoices on WhatsApp or put them in Google Drive. If you already use SQL Account, AutoCount or Bukku, we can work together directly in the software.

Your accounts are delivered on the dates set in the service agreement. If you have questions, we reply as soon as we can, usually within the working day. For what is included, see monthly bookkeeping and payroll services. For fees, see the pricing page. If your warehouse is in Selangor, you can also read bookkeeping services in Selangor.

How do KL clinics track money owed by panel companies?

Record each panel bill as a receivable when you issue it, then match it off when the insurer, TPA or employer pays. From the Growth plan upwards, the management report includes receivables ageing, so you can see which panel is more than 60 days late. Please have the accountant confirm the treatment based on your clinic's records.

Do wholesalers in Kuala Lumpur need to issue e-Invoices?

It depends on annual turnover. From 1 September 2026, the exemption threshold rises to RM3 million. Businesses below this amount that meet LHDN's conditions may stop issuing e-Invoices, or continue voluntarily. Businesses between RM3 million and RM5 million fall under Phase 4, with a grace period until 31 December 2027. Businesses above RM5 million started in Phases 1 to 3 and do not get this grace period. Always follow LHDN's latest guidelines.

My Kepong wholesale shop takes a lot of cash. How should the books be kept?

The key is a daily cash record, such as a POS end-of-day report or a cash book, and banking in the cash regularly. Each month, match the end-of-day reports, deposit slips and bank statement, and any cash difference will show. Please have the accountant confirm the right method for how you operate.

Parking in the city centre is hard. Do I need to deliver documents in person?

No. You can send receipts, invoices and bank statements as WhatsApp photos, through Google Drive or by uploading to accounting software. If you need to hand over physical documents, you can arrange this separately with the partner team.

Can you handle several branches or several companies together?

Yes. This usually falls under the Custom plan, quoted by transaction volume and number of companies. WhatsApp us first with your rough transaction volume and company structure.
